Organize knowledge
Rename items, tag and collect them, move them into spaces, set visibility and sensitivity, and use trash and restore.
Everything on this page is done from an item's page (open any item in Knowledge) or in bulk from the Knowledge list. What you can change depends on your role and on who owns the item.
Rename#
Change an item's title from its page. The new title is used everywhere, including in search and citations.
Tags and collections#
Tags are short labels you attach to items. Breno can suggest tags automatically. Collections group items you want to keep together. Both are carried in an export and restored by an import.
Spaces#
A space is a group of items with its own members. Move an item into a space from its page, and only people in that space (or cleared for it by role) can read it. Manage spaces under More, then Spaces. See Spaces and sensitivity.
Visibility#
| Visibility | Who can read the item |
|---|---|
| Workspace | Everyone in the workspace who is allowed by its space and sensitivity. |
| Only me | Only you, the owner. Not even an Admin can read another member's private item. |
Sensitivity#
Set an item's label (public, internal, confidential or restricted) from its page. You can set only labels you are yourself cleared for. A person without clearance for a label does not see the item in search, answers, the graph, exports or MCP.
Owner#
Every item has an owner, shown in lists and on the item's page. The owner can change its visibility, sensitivity and space, and Admins can manage any item. A member can always delete their own uploads.
Trash and restore#
Deleting an item moves it to Trash, a tab on the Knowledge page, where it stays for 30 days. A deleted item disappears from search, the graph and memory recall. Select Restore to bring it back; only someone who could delete it can restore it.
After 30 days the item is purged: its text, passages, embeddings, graph entries and files are removed. A legal hold is respected. You can also purge one item immediately from the Trash. See Versions and trash.
Bulk actions#
Select several items in the list to act on them together. The same role and space checks apply to every item in a bulk action.
